·         A $150 non-refundable application fee is required with this application.  $100 of this fee will be applied against camper fees.  $50 will not be applied against camper fees. 

·         To keep your reservation, you will need to commit to the number of Scouts that you will be bringing by submitting a $25 non-refundable deposit per Scout to the Scout Service Center by February 1.  A form for you to use will be mailed to you in January.

·         All Scouts, including Webelos who have crossed over into your troop, must pay their fees by May 1 in order to receive the discounted fee.

*If your troop does not enroll enough Scouts to fill the campsite selected, or is too large to fit in the site you have selected,  Del-Mar-Va Council reserves the right to move you to another campsite, and/or have you share the site with another troop of our choosing, in order to accommodate other Scouts that may want to attend summer camp.

Meal Plans (Choose One) Dining Hall (both Camps) - Unit eats at camp dining facility.
Troop Commissary (both Camps - at Rodney only in Accomac, Wicomico, Minquas & Alapocas) - Unit brings and prepares own food.
Heater Stack (at Rodney only in Accomac, Wicomico, Minquas & Alapocas only) - Meals prepared in camp kitchen and eaten at your campsite.

IMPORTANT INFORMATION

1.  All leaders who are responsible for the group must be registered members of the BSA.

2.  Your application is not confirmed until you receive a confirmation letter from the Council.                                                         

3.  In January you will receive a transmittal form.  You will need to commit to the number of Scouts that you will be bringing by returning the transmittal form along with a $25 non-refundable deposit for the number of Scouts that you want to reserve space for, no later than February 1.  Space will only be reserved for the number of Scouts for which you pay.  This deposit is non-refundable.  

4.  Send a separate check, and only one check, from your troop account to cover camp fees.  Be sure to specify the number of Scouts  that you are paying for, along with your troop number and the camp date.   

5.  Balance of summer camp fees is due in the Scout Service Center NO LATER than May 1 in order to receive the discounted fee.  Scouts just crossed over from Webelos are not exempt from this policy.  Payments received by the Camping Service after May 1 will not receive the discount.  Send only one check from your troop to cover camp fees.  Be sure to indicate the troop number, camp date, and the number of Scouts and leaders for whom you are paying.

6.  It is the unit’s responsibility to be sure that all parents are aware of the following refund policy and the policy on medical forms:  

REFUND POLICY - PARTIAL REFUNDS for Scouts not attending camp will be given only if the unit notifies the Camping Service in writing at least 14 days prior to the unit’s scheduled arrival date at camp.  There will be no refunds on cancellations within two weeks of camp attendance except for medical reasons.  Partial refunds for cancellations due to medical reasons will require a doctor’s note.  The $25 non-refundable registration fee will not be returned.  After June 1, contract commitments increase the non-refundable amount to $50 regardless of the reason for cancellation.  Requests for partial refunds must be made no later than September 1.  Requests made after that date will not be considered.  

MEDICAL FORMS are required for every person in camp, and a separate form is required for each session attended.

These medical forms must be kept by the council.  Be sure to make copies of the form before you come to camp.  Be prepared to leave a copy of your medical form at camp.  Keep the original in a safe place; it can be used again.  COPIES CANNOT BE MADE AT CAMP, AND THEY CANNOT BE PROVIDED AT ANY LATER TIME.  

STANDARDS FOR PRIVACY  Separate facilities for women leaders are required by BSA National Standards.  Women may stay inside the cabin (if there is one on your site) if the men stay outside. At Rodney Shawnee , Minsi, Accomac, Wicomico, Minquas, and Alapocas have small leaders rooms which will accommodate 2 persons.  Women may use these rooms while male leaders stay in the main rooms.  In all other sites, or if the female leadership exceeds the capacity of the facilities available for them in cabins, females must stay in tents.

CAMPSITE POLICY  If you do not enroll enough boys to fill the campsite, Del-Mar-Va Council reserves the right to move you to another campsite, or have you share the site with another unit of our choosing so that we may accommodate boys who want to attend camp.  Based on the number of Scouts and leaders you make payment for by May 1, troops will be assigned to a campsite.  It may or may not be the site that you requested.  We will make every effort to keep troops in the site that they request, but it is not always possible.  We reserve the right to make the changes necessary to best accommodate all campers.  If there is a building on the site, the leaders from both units should plan to share it.  Unless the building has separate facilities for women, (see above) women should plan on staying in tents.
